How we handle personal data.

Who we are

Cubex Nederland is the controller for cubexic.com. Danial Keshani is responsible for privacy questions, including requests from people in Canada under PIPEDA.

What data we collect

From people who visit the site or become clients:

• Connection data, such as an IP address, which our web host processes to deliver the page.
• Emails you send us: your address, your message, and anything you include in it.
• Client work: the correspondence and project details needed to do the job.

The site has no contact form, so we do not collect form entries. We do not use analytics tools, and we do not build analytics profiles of visitors.

The contact page has an optional chat assistant. If you use it, the words you type or say are sent to ElevenLabs so it can answer. You can skip it and email us instead.

For outreach, before any email is sent, we may hold:

• Name
• Work email
• Job title
• Organization
• The public web page where we found that information

Where outreach data comes from

Outreach data comes from the organization's own public website. We did not receive it from you. You did not give it to us. We copy the name, work email, job title, and organization from a page that organization has already published, and we keep the address of that page.

Why we use it

• To deliver client work. The legal basis is the contract.
• To send one-off business emails to organizations. The legal basis is legitimate interest. Each message is a single approach about that organization's own site, with a way to opt out in the mail itself.
• To keep invoices. The legal basis is a legal obligation.
• To deliver and protect this website. The legal basis is legitimate interest.

We do not sell personal data, and we do not use it for advertising profiles.

How long we keep it

Outreach data is deleted 12 months after the last contact with that address.

If you opt out, we keep that email address on a do-not-contact list so it is never emailed again. The rest of the outreach record is deleted. The address stays on that list only so the opt-out is not lost.

A message that does not become work is deleted once the conversation is finished. Project correspondence is kept for the life of the work. Invoices are kept for the seven years Dutch tax rules require.

Who else handles it

Hetzner Online GmbH, in Germany, hosts the cubex@cubex.nl mailbox. That processing stays in the European Union.

Cloudflare, Inc., in the United States, delivers this website and processes connection data, including IP addresses, to route the request and protect the site. Cloudflare is outside the EU. The transfer is protected by the EU's standard contractual clauses in Cloudflare's data processing terms. Their notice is at cloudflare.com/privacypolicy.

We do not use an analytics tool.

If you use the contact assistant, ElevenLabs processes that conversation. ElevenLabs is outside the EU. That transfer is also protected by the EU's standard contractual clauses. Their notice is at elevenlabs.io/privacy.

Notion Labs, Inc., in the United States, stores our list of business contacts and our notes about them. Notion is outside the EU. The transfer is protected by the EU's standard contractual clauses in Notion's data processing terms. Their notice is at notion.so/privacy.

Google LLC, in the United States, holds an archive copy of the emails we send, in a Gmail mailbox. Google is outside the EU. The transfer is protected by the EU's standard contractual clauses in Google's data processing terms. Their notice is at policies.google.com/privacy.

We use AI research tools to help find and check publicly listed business contacts and to review public websites. These tools process the name, role, business email, and website of the contact. Where a tool's provider is outside the EU, the transfer is protected by the EU's standard contractual clauses.

Your rights

You can ask for access, correction, or deletion of personal data we hold about you. You can object to direct marketing at any time. We always honor that objection: we stop, and we add the address to the do-not-contact list.

If you are in the EU, you can also complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens. If you are in Canada, you can complain to the Office of the Privacy Commissioner of Canada.

We do not sell personal information, and we do not share it for cross-context advertising.

To opt out of business emails, email cubex@cubex.nl. We stop, and we keep the address on the do-not-contact list so it is not mailed again.

Do Not Track: this site does not track you across other websites. If your browser sends a Do Not Track signal, we treat it as an opt-out of tracking. There is no analytics or advertising tracker to switch off.

This policy is effective 11 October 2026.

Cookies

We do not set analytics cookies or advertising cookies. We do not set a first-party cookie of our own.

Cloudflare may set a strictly necessary cookie to keep the site available and to resist abuse. If you open the contact assistant, that embed may store its own technical data while you use it.
